Preliminary floor plans are due around 90 days before your event, as outlined in the planning milestones. Exact deadlines are confirmed with your DEC event contact.

Organizers may work with approved decorators and service providers in accordance with DEC's venue requirements. Contractors must comply with applicable insurance, safety and access requirements.

DEC coordinates event security based on attendance, event type, operating hours and entrances, established during event planning.

Yes. DEC works with organizers to determine appropriate internet and network services based on the size and technical requirements of the event.

Move-in and move-out schedules are established in advance based on event requirements, loading access, exhibitors and decorators. Coordinate loading schedules with DEC before finalizing exhibitor instructions.

Food and beverage activity must be coordinated in advance and is subject to venue requirements, licensing, health regulations and event-specific approvals. See the Food & Beverage Guidelines for details.

Event organizers and applicable contractors must maintain insurance coverage consistent with DEC's contractual and operational requirements, detailed in the applicable agreement.

Final service requirements and costs are established based on your event's approved operational plan — typically finalized around 30 days before your event.
